Key Responsibilities
- Develop and implement effective filing systems, both physical and electronic, to ensure easy access and retrieval of documents and records.
- Maintain accurate and up-to-date records, including client files, contracts, and other sensitive documents.
- Ensure compliance with regulatory requirements, including data protection and confidentiality laws.
- Collaborate with the administrative team to ensure seamless day-to-day operations and to provide top-notch support to our clients.
- Organize and maintain office supplies, equipment, and materials, including paper, toner, and other essential items.
- Perform regular audits to ensure accuracy and completeness of records and documents.
- Provide exceptional customer service to our clients, responding to inquiries and resolving issues in a timely and professional manner.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Utilize Microsoft Office software, including Word, Excel, and Outlook, to manage and maintain records and documents.
- Stay up-to-date with changes in regulatory requirements, industry trends, and best practices in record-keeping and document management.
- Collaborate with other departments to ensure effective communication and to achieve business objectives.
- Develop and implement process improvements to increase efficiency, productivity, and quality of work.
- Participate in training and professional development opportunities to enhance skills and knowledge.
- Perform other administrative tasks as required, including data entry, mailings, and reception duties.
Requirements
- High school diploma or equivalent required; post-secondary education in business administration, office management, or a related field is an asset.
- Minimum 2 years of experience in an administrative role, preferably in a fast-paced office environment.
- Proficient in Microsoft Office software, including Word, Excel, and Outlook.
- Excellent organizational, time management, and prioritization skills, with the ability to work in a fast-paced environment.
- Attention to detail and ability to maintain accuracy and confidentiality in record-keeping and document management.
- Strong communication and interpersonal skills, with the ability to provide exceptional customer service to clients.
- Ability to work independently and as part of a team, with a strong commitment to collaboration and teamwork.
