Key Responsibilities

  • Develop, implement, and maintain effective filing systems, procedures, and standards.
  • Organize, maintain, and update physical and digital files, ensuring accuracy, security, and efficiency.
  • Ensure that all files are accurately labeled, stored, and easily accessible.
  • Implement and maintain effective data management systems and procedures.
  • Provide excellent customer service, responding to inquiries and resolving issues in a timely and professional manner.
  • Collaborate with team members to ensure that filing systems are aligned with business objectives and goals.
  • Develop and maintain spreadsheets, databases, and other tools to track and analyze data.
  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Participate in quality improvement initiatives, identifying opportunities for process improvements and implementing changes as needed.
  • Provide training and support to team members on filing systems, procedures, and standards.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Perform other related duties as assigned by management.

Requirements

  • High school diploma or equivalent required; post-secondary education in a related field an asset.
  • Minimum 2 years of experience in a data management or administrative role.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong attention to detail and ability to maintain accuracy and precision.
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience with data management software and systems an asset.
  • Excellent communication and interpersonal skills, with ability to work collaboratively in a team environment.
  • Ability to work in a fast-paced environment, prioritize tasks, and meet deadlines.
  • Strong analytical and problem-solving skills, with ability to think critically and outside the box.
  • Certification in data management or a related field an asset.
