The project scope for this role is to organize and maintain our existing filing systems, develop and implement new filing procedures, and ensure compliance with our company's data management policies. You will work closely with our IT department to ensure that our digital files are properly backed up and secure. Key Responsibilities

  • Organize and maintain physical and digital filing systems, ensuring that all files are up-to-date, accurate, and easily accessible.
  • Develop and implement new filing procedures and protocols to improve efficiency and productivity.
  • Ensure compliance with company data management policies and procedures.
  • Collaborate with the IT department to ensure that digital files are properly backed up and secure.
  • Provide administrative support to consultants, managers, and other staff members as needed.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Develop and maintain spreadsheets, reports, and other documents as required.
  • Conduct regular audits to ensure that filing systems are accurate and up-to-date.
  • Provide training and support to staff members on filing procedures and protocols.
  • Stay up-to-date with changes in company policies and procedures and implement changes as required.
  • Participate in team meetings and contribute to the development of new processes and procedures.
  • Maintain a high level of organization, attention to detail, and productivity in a fast-paced environment.

Requirements

  • Minimum 2 years of experience in an administrative or data management role.
  • Excellent organizational, time management, and communication skills.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience with data entry, filing, and record-keeping.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Strong attention to detail and ability to maintain accuracy and quality in work product.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma or equivalent required; post-secondary education in a related field an asset.
  • Excellent problem-solving and analytical skills.
  • Ability to work collaboratively as part of a team.
