Key Responsibilities

  • Develop and implement effective filing systems to ensure accurate and efficient document storage and retrieval
  • Maintain and update files, both physical and digital, to ensure compliance with company policies and procedures
  • Conduct regular audits to ensure that all documents are accurate, up-to-date, and easily accessible
  • Provide administrative support to staff, including data entry, document scanning, and file maintenance
  • Handle sensitive documents with care and maintain confidentiality at all times
  • Collaborate with team members to develop and implement new processes and procedures
  • Develop and maintain spreadsheets to track and analyze data
  • Provide excellent customer service to internal and external clients
  • Participate in regular team meetings to discuss progress, goals, and objectives
  • Stay up-to-date with industry trends and best practices in file organization and management
  • Perform other administrative tasks as required
  • Provide support for special projects and initiatives as needed
  • Develop and maintain a thorough understanding of company policies and procedures
  • Collaborate with the IT department to ensure that all filing systems are compatible with company software and hardware

Requirements

  • High school diploma or equivalent required, degree in administration or related field preferred
  • At least 2 years of experience in file organization, administration, or related field
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office, particularly Excel and Word
  • Experience with data entry, document scanning, and file maintenance
  • Ability to work in a fast-paced environment and prioritize tasks effectively
  • Strong attention to detail and organizational skills
  • Ability to maintain confidentiality and handle sensitive documents with care
  • Excellent problem-solving and analytical skills
