Key Responsibilities

  • Organize and maintain company files, both physical and digital, to ensure accuracy, completeness, and confidentiality.
  • Develop and implement effective filing systems, including categorization, labeling, and storage of documents.
  • Scan, index, and store digital documents in accordance with company policies and procedures.
  • Perform data entry tasks, including updating databases and spreadsheets with accurate and timely information.
  • Collaborate with team members to ensure seamless workflow and communication.
  • Provide exceptional customer service to internal and external clients, responding to requests and inquiries in a timely and professional manner.
  • Maintain the highest level of confidentiality and security when handling sensitive documents and information.
  • Develop and maintain a thorough understanding of company policies, procedures, and protocols.
  • Participate in training and professional development opportunities to enhance skills and knowledge.
  • Contribute to a positive and supportive team environment, fostering collaboration and teamwork.
  • Meet deadlines and deliver high-quality results in a fast-paced environment.

Requirements

  • High school diploma or equivalent required; post-secondary education in business administration or a related field an asset.
  • 2+ years of experience in a related role, such as data entry, administrative support, or document management.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Excellent communication, organizational, and time management skills.
  • Attention to detail, accuracy, and ability to maintain confidentiality.
  • Ability to work in a fast-paced environment, prioritizing tasks and meeting deadlines.
  • Familiarity with document management software and systems.
  • Strong problem-solving and analytical skills, with the ability to think critically and outside the box.
  • Adaptability, flexibility, and a willingness to learn and grow with the company.
  • Certification in document management or a related field an asset.
