Key Responsibilities
- Develop and implement effective filing systems to ensure accurate and efficient document management
- Maintain and update existing filing systems to ensure compliance with regulatory requirements
- Ensure the accuracy, completeness, and confidentiality of company documents and records
- Collaborate with team members to develop and implement new filing systems and procedures
- Provide training and support to staff on file management best practices and procedures
- Conduct regular audits to ensure compliance with regulatory requirements and company policies
- Develop and maintain detailed records of file management activities, including document storage and retrieval
- Ensure the security and integrity of sensitive information and documents
- Participate in the development and implementation of company-wide file management policies and procedures
- Collaborate with the IT department to ensure seamless integration of file management systems with other company systems
- Stay up-to-date with industry trends and best practices in file management and make recommendations for improvement
- Develop and maintain positive working relationships with colleagues and stakeholders
- Participate in ongoing training and professional development to maintain and improve file management skills and knowledge
Requirements
- 2+ years of experience in file management or a related field
- High school diploma or equivalent required; degree in business administration or a related field an asset
- Proven ability to maintain confidentiality and handle sensitive information with discretion
- Excellent organizational and time management skills, with ability to prioritize tasks and meet deadlines
- Strong attention to detail and ability to ensure accuracy and completeness of documents and records
- Excellent communication and interpersonal skills, with ability to work effectively with colleagues and stakeholders
- Ability to work independently and as part of a team, with strong problem-solving and analytical skills
- Proficiency in Microsoft Office, particularly Excel and Word
- Experience with electronic document management systems an asset
- Certificate in records management or a related field an asset
- Strong commitment to ongoing learning and professional development
