Key Responsibilities

  • Organize and maintain physical and digital files, ensuring accuracy, completeness, and confidentiality
  • Develop and implement effective filing systems, both physical and digital, to ensure easy access and retrieval of information
  • Perform data entry tasks, including scanning, indexing, and uploading documents to our database
  • Collaborate with colleagues to ensure seamless communication and coordination
  • Develop and maintain spreadsheets to track and analyze data
  • Conduct regular audits to ensure compliance with company policies and procedures
  • Provide administrative support to the team, including answering phone calls, responding to emails, and preparing reports
  • Participate in team meetings and contribute to the development of new projects and initiatives
  • Stay up-to-date with industry trends and best practices, applying this knowledge to improve our filing systems and processes
  • Develop and maintain a thorough understanding of our company's policies, procedures, and systems
  • Work closely with the IT department to ensure our filing systems are integrated with our technology infrastructure
  • Develop training materials and provide support to new employees on our filing systems and procedures
  • Identify areas for improvement and develop strategies to increase efficiency and productivity
  • Collaborate with external partners and stakeholders to ensure compliance with regulatory requirements

Requirements

  • 2+ years of experience in a related field, preferably in data management or administration
  • Highly organized and detail-oriented, with excellent communication and interpersonal skills
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook
  • Experience with data entry software and database management systems
  • Ability to work in a fast-paced environment, prioritizing tasks and managing multiple projects simultaneously
  • Strong analytical and problem-solving skills, with the ability to identify areas for improvement
  • Excellent time management and organizational skills, with the ability to meet deadlines and deliver results
  • Strong attention to detail, with the ability to maintain accuracy and confidentiality
  • Ability to work collaboratively as part of a team, with a positive and supportive attitude
  • Strong customer service skills, with the ability to respond to inquiries and resolve issues promptly
