Key Responsibilities
- Develop, implement, and maintain efficient and effective filing systems, both physical and digital, to ensure easy access and retrieval of documents.
- Organize, categorize, and maintain a wide range of documents, including client records, contracts, financial reports, and marketing materials.
- Ensure all files are properly labeled, dated, and stored in accordance with company policies and regulatory requirements.
- Scan, digitize, and electronically store documents as necessary, while maintaining the integrity and confidentiality of sensitive information.
- Maintain accurate and up-to-date records of all file movements, including check-out and check-in procedures.
- Develop and enforce filing protocols to ensure consistency across the organization.
- Provide administrative support to the team, including preparing documents for meetings, making photocopies, and sending faxes.
- Collaborate with the IT department to troubleshoot any technical issues related to digital filing systems.
- Develop and implement procedures for retaining, storing, and destroying documents in accordance with company policies and regulatory requirements.
- Conduct regular audits to ensure the accuracy and integrity of files and records.
- Maintain the highest level of confidentiality and handle sensitive information with discretion.
- Stay up-to-date with changing regulations, policies, and procedures that impact filing and record-keeping practices.
- Provide training and support to new employees on filing systems and procedures.
- Participate in special projects and tasks as assigned by senior management.
Requirements
- High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.
- At least 2 years of experience in a filing or administrative role, preferably in a fast-paced office environment.
- Excellent organizational, time management, and problem-solving skills.
- Strong attention to detail and ability to maintain accuracy in a high-volume environment.
- Proficient in Microsoft Office, particularly Word, Excel, and Outlook.
- Experience with digital filing systems and document management software.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
- Ability to lift up to 25 pounds and stand for long periods.
- Strong analytical and critical thinking skills, with the ability to troubleshoot issues and develop creative solutions.
- Ability to work in a team environment and adapt to changing priorities and deadlines.
- Certification in records management or a related field is an asset.
