About the Role

Key Responsibilities
- Develop, implement, and maintain efficient filing systems for both physical and digital documents.
- Ensure all files are accurately labeled, categorized, and stored in a manner consistent with company policies and data protection regulations.
- Manage and maintain confidentiality of sensitive documents and information.
- Conduct regular audits to ensure compliance with filing systems and rectify any discrepancies found.
- Collaborate with the administrative team to identify and implement improvements to current filing systems and processes.
- Provide support in scanning, digitizing, and indexing documents for easy access and retrieval.
- Maintain records of file locations, both physical and digital, to facilitate easy retrieval of information.
- Assist in training other staff members on filing procedures and best practices.
- Coordinate with departments to retrieve and file documents in a timely manner.
- Liaise with external parties regarding document requests and deliveries, maintaining professional communication at all times.
- Perform data entry tasks as required, ensuring accuracy and speed.
- Stay up-to-date with changes in data protection regulations and implement necessary adjustments to filing systems.
- Prepare reports on filing system efficacy and propose improvements based on analysis.
- Participate in team meetings to discuss ongoing projects and contribute to brainstorming sessions for process improvements.
Requirements
- High school diploma or equivalent required; degree in Business Administration, Library Science, or related field preferred.
- At least 2 years of experience in a filing or administrative role, with demonstrated understanding of filing systems and data management principles.
- Proficiency in Microsoft Office, particularly Excel and Word, and experience with document management software.
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Strong attention to detail and analytical skills to maintain accurate and compliant filing systems.
- Ability to work independently and as part of a team, with a collaborative mindset and positive attitude.
- Effective communication and interpersonal skills to interact professionally with all levels of staff and external contacts.
- Knowledge of data protection regulations and practices, such as GDPR and HIPAA.
- Certification in data management or a related field is an asset but not required.
- Physical ability to lift files and boxes, and sit or stand for extended periods.
