Key Responsibilities

  • Provide administrative support to senior management team, including preparing correspondence, reports, and presentations
  • Coordinate travel arrangements, including booking flights, hotels, and rental cars
  • Manage calendars, schedule appointments, and arrange meetings
  • Prepare and distribute meeting materials, including agendas, minutes, and action items
  • Develop and maintain filing systems, both physical and digital
  • Provide customer service support, responding to phone calls, emails, and messages
  • Perform data entry tasks, including updating databases and spreadsheets
  • Collaborate with other departments to achieve company goals and objectives
  • Develop and implement administrative processes and procedures
  • Maintain confidentiality and handle sensitive information with discretion
  • Perform other administrative tasks as required
  • Provide backup support for other administrative staff members
  • Participate in special projects and initiatives as required
  • Develop and maintain relationships with internal and external stakeholders
  • Stay up-to-date with industry trends and best practices, applying this knowledge to improve administrative processes and procedures

Requirements

  • 2+ years of experience in an administrative role, preferably in a business or corporate environment
  • High school diploma or equivalent required, post-secondary education an asset
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with internal and external stakeholders
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Familiarity with database management and data entry software
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong problem-solving and analytical skills, with the ability to think critically and outside the box
  • Excellent customer service skills, with the ability to respond to phone calls, emails, and messages in a professional and courteous manner
  • Ability to work in a fast-paced environment, with the ability to adapt to changing priorities and deadlines
  • Strong attention to detail, with the ability to accurately complete tasks and projects
  • Ability to work independently and as part of a team, with the ability to collaborate with others to achieve company goals and objectives
