Key Responsibilities

  • Provide administrative support to the management team, including coordinating meetings, preparing agendas, and taking minutes.
  • Manage and maintain accurate and up-to-date records and databases, including client information, contracts, and financial records.
  • Develop and implement effective administrative processes and procedures to ensure seamless day-to-day operations.
  • Coordinate travel arrangements, including flights, hotels, and car rentals, and prepare expense reports.
  • Prepare and distribute correspondence, including emails, letters, and reports, and ensure that all communications are professional and effective.
  • Manage and maintain the company's social media presence, including creating and scheduling posts, responding to comments, and analyzing engagement metrics.
  • Provide exceptional customer service to clients, including responding to inquiries, resolving issues, and providing support and guidance.
  • Develop and maintain relationships with clients, including building trust, identifying needs, and providing solutions.
  • Collaborate with the management team to develop and implement marketing strategies, including social media campaigns, email marketing, and event planning.
  • Conduct research and analyze data to identify trends, opportunities, and challenges, and provide recommendations for improvement.
  • Develop and maintain budgets, including tracking expenses, managing finances, and ensuring compliance with company policies and procedures.
  • Coordinate events, including conferences, meetings, and workshops, and ensure that all logistics are arranged and executed effectively.
  • Provide technical support, including troubleshooting, maintenance, and repair of equipment and software.
  • Develop and maintain technical documentation, including user manuals, guides, and tutorials.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • At least 2 years of experience in an administrative support role, including experience in a fast-paced and dynamic environment.
  • Excellent administrative skills, including organizational, communication, and problem-solving skills.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Experience with customer relationship management (CRM) software and other administrative tools.
  • Excellent customer service skills, including the ability to respond to inquiries, resolve issues, and provide support and guidance.
  • Strong analytical and problem-solving skills, including the ability to conduct research, analyze data, and provide recommendations for improvement.
  • Ability to work in a team environment, including collaborating with colleagues, building relationships, and contributing to the success of the organization.
  • Strong attention to detail, including the ability to maintain accurate and up-to-date records and databases.
  • Excellent time management skills, including the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Certification in administrative assistance, including Certified Administrative Professional (CAP) or Certified Professional Secretary (CPS).
