Key Responsibilities
- Design and implement a comprehensive filing system that meets the company's needs
- Maintain accurate and up-to-date records of all digital and physical files
- Collaborate with the administrative team to ensure seamless document management and retrieval
- Implement and enforce document management policies and procedures
- Conduct regular audits to ensure compliance with company policies and regulatory requirements
- Develop and maintain databases to track and manage documents
- Provide training and support to employees on document management best practices
- Ensure confidentiality and security of sensitive documents and information
- Coordinate with external vendors and partners to manage document-related projects
- Develop and implement processes to improve document management efficiency and effectiveness
- Participate in special projects and initiatives as needed
- Stay up-to-date with industry trends and best practices in document management
- Provide excellent customer service to internal and external clients
Requirements
- 2+ years of experience in document management or a related field
- Excellent organizational and time management skills
- Strong attention to detail and ability to maintain accuracy
- Proficiency in Microsoft Office, particularly Excel and Word
- Experience with document management software and databases
- Excellent communication and interpersonal skills
- Ability to work in a fast-paced environment and meet deadlines
- Strong analytical and problem-solving skills
- Ability to maintain confidentiality and handle sensitive information
- Certification in document management or a related field is an asset
- Experience working in a team environment and collaborating with cross-functional teams
