Key Responsibilities

  • Provide administrative support to senior management, including preparing documents, presentations, and reports
  • Manage calendars, schedule appointments, and coordinate travel arrangements
  • Develop and implement effective filing systems, both physical and digital, to ensure easy access to information
  • Perform data entry tasks, maintain accurate records, and ensure data integrity
  • Respond to customer inquiries via phone, email, and chat, resolving issues promptly and professionally
  • Collaborate with internal teams to achieve organizational goals and objectives
  • Conduct research, analyze data, and provide insights to inform business decisions
  • Develop and maintain relationships with clients, vendors, and partners
  • Assist with project management tasks, including planning, coordination, and execution
  • Identify areas for process improvement and implement changes to increase efficiency and productivity
  • Maintain confidentiality and handle sensitive information with discretion
  • Stay up-to-date with industry trends and best practices to continually improve performance and knowledge
  • Develop and implement procedures to ensure compliance with company policies and regulatory requirements
  • Provide training and support to new team members to ensure a smooth onboarding process

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field
  • At least 2 years of experience in an administrative support role, preferably in a virtual environment
  • Excellent written and verbal communication skills, with the ability to craft engaging content
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Experience with customer relationship management (CRM) software and other business applications
  • Strong problem-solving skills, with the ability to analyze data and provide insights
  • Ability to work independently and as part of a remote team
  • Flexibility and adaptability in a fast-paced environment
  • Strong attention to detail and ability to maintain accurate records
  • Certification in administrative assistance or a related field is an asset
