Key Responsibilities

  • Develop, implement, and maintain efficient and effective digital filing systems to ensure easy access and retrieval of documents.
  • Collaborate with the operations team to identify and prioritize filing needs, and to develop strategies for improving the organization and maintenance of digital files.
  • Ensure the accuracy, completeness, and integrity of all digital files and documents, and maintain strict adherence to company policies and procedures.
  • Utilize file management software and tools to organize, maintain, and update digital files, and to ensure compliance with data protection and privacy regulations.
  • Provide support and training to staff members on the use of digital filing systems and file management best practices.
  • Conduct regular audits and quality checks to ensure the accuracy and integrity of digital files, and to identify areas for improvement.
  • Develop and maintain detailed records and reports of filing activities, and provide regular updates to management and the operations team.
  • Stay up-to-date with the latest developments and trends in digital file management, and make recommendations for improvements and enhancements to our filing systems.
  • Collaborate with other departments to develop and implement comprehensive information management strategies and solutions.
  • Ensure the confidentiality, security, and integrity of all digital files and documents, and maintain strict adherence to data protection and privacy policies.
  • Provide exceptional customer service and support to internal stakeholders, and respond to requests and inquiries in a timely and professional manner.
  • Participate in ongoing training and professional development opportunities to enhance skills and knowledge in digital file management and related areas.
  • Develop and maintain effective working relationships with internal stakeholders, including staff members, management, and other departments.
  • Collaborate with the IT department to ensure the security and integrity of digital files, and to troubleshoot any technical issues or problems that may arise.

Requirements

  • High school diploma or equivalent required; post-secondary education in a related field (e.g., business administration, information management) an asset.
  • Minimum 2 years of experience in a similar role, preferably in a business or office environment.
  • Proven expertise in digital file management, including the use of file management software and tools.
  • Excellent organizational, analytical, and problem-solving skills, with a keen eye for detail and a strong ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to provide exceptional customer service and support to internal stakeholders.
  • Proficient in the use of Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to work independently in a fast-paced environment, with a strong ability to adapt to changing priorities and deadlines.
  • Excellent time management and prioritization skills, with a strong ability to meet deadlines and deliver high-quality results.
  • Strong analytical and problem-solving skills, with a keen eye for detail and a strong ability to identify and resolve issues and problems.
  • Ability to maintain confidentiality, security, and integrity of digital files and documents, and to adhere to data protection and privacy policies.
