As an Administrative Assistant at Azura Solutions, you will be responsible for providing administrative support to our senior management and team members, including handling correspondence, managing calendars, and coordinating travel arrangements. You will also be responsible for maintaining accurate and up-to-date records, preparing reports, and performing various administrative tasks as required. Key Responsibilities
- Provide administrative support to senior management and team members, including handling correspondence, managing calendars, and coordinating travel arrangements
- Maintain accurate and up-to-date records, including employee files, customer databases, and financial records
- Prepare reports, spreadsheets, and presentations as required, using software such as Microsoft Excel and PowerPoint
- Manage and coordinate events, meetings, and conferences, including arranging catering, Audio-Visual equipment, and other logistics
- Develop and implement effective filing systems, both physical and digital, to ensure easy access to information
- Provide exceptional customer service to clients, customers, and colleagues, responding to inquiries and resolving issues in a timely and professional manner
- Collaborate with team members to achieve shared goals and objectives, providing support and assistance as needed
- Perform various administrative tasks, including data entry, mail merge, and document scanning
- Develop and maintain relationships with external partners, vendors, and suppliers, ensuring excellent communication and customer service
- Participate in special projects and initiatives, as required, to support the growth and development of the company
- Stay up-to-date with industry trends, best practices, and new technologies, applying this knowledge to improve administrative processes and procedures
- Provide technical support and training to team members, as required, to ensure they have the skills and knowledge needed to perform their jobs effectively
- Participate in continuous improvement initiatives, identifying opportunities for process improvements and implementing changes as needed
- Develop and maintain a thorough knowledge of company policies, procedures, and systems, ensuring compliance with regulatory requirements and industry standards
Requirements
- High school diploma or equivalent required, with a degree in business administration or a related field preferred
- At least 2 years of experience in an administrative role, providing support to senior management and team members
- Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues, clients, and customers
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Proficiency in Microsoft Office software, including Word, Excel, PowerPoint, and Outlook
- Experience with customer relationship management (CRM) software and other administrative tools and systems
- Strong problem-solving and analytical skills, with the ability to think critically and outside the box
- Ability to work in a fast-paced environment, with a high level of flexibility and adaptability
- Strong attention to detail, with a focus on accuracy and quality
- Ability to maintain confidentiality and handle sensitive information with discretion
- Certification in administration or a related field, such as the Certified Administrative Professional (CAP) designation
- Experience with data entry, record-keeping, and other administrative tasks, with a high level of accuracy and attention to detail
