Key Responsibilities

  • Provide administrative support to clients, including data entry, email management, and document preparation.
  • Manage and maintain accurate and up-to-date records and databases, both physical and digital.
  • Develop and implement effective filing systems, ensuring compliance with data protection policies.
  • Coordinate travel arrangements, meetings, and appointments as required.
  • Prepare and distribute correspondence, reports, and other documents in a timely and professional manner.
  • Offer exceptional customer service, responding to client inquiries and resolving issues promptly.
  • Collaborate with the team to achieve administrative objectives, sharing knowledge and best practices.
  • Develop and maintain relationships with clients, understanding their administrative needs and delivering tailored support.
  • Identify areas for process improvement and implement changes to enhance administrative efficiency.
  • Utilize various software applications, including Microsoft Office and Google Workspace, to perform administrative tasks.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Participate in team meetings, contributing to discussions and providing feedback on administrative processes.
  • Stay up-to-date with industry trends and developments in administrative support, applying this knowledge to improve service delivery.
  • Ensure compliance with company policies and procedures, adhering to quality and performance standards.

Requirements

  • Previous experience in an administrative support role, preferably in a business or consulting environment.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and colleagues.
  • Proficiency in Microsoft Office, particularly Word, Excel, and Outlook, as well as Google Workspace.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • High level of accuracy and attention to detail, with excellent data entry skills.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
  • Strong problem-solving skills, with the ability to think critically and outside the box.

  • Excellent email and phone etiquette, with the ability to communicate effectively with clients and stakeholders.
