Key Responsibilities
- Develop and maintain complex filing systems, both physical and digital, to ensure accurate and efficient document management.
- Manage confidential documents, ensuring that all files are handled with discretion and in accordance with company policies.
- Provide exceptional customer service to clients and colleagues, responding to requests for documents and information in a timely and professional manner.
- Collaborate with administrative staff to ensure seamless integration of documents and information across departments.
- Utilize data entry skills to accurately and efficiently enter information into our database management system.
- Maintain accurate and up-to-date records, ensuring compliance with company policies and regulatory requirements.
- Conduct regular audits to ensure that all documents are accurately filed and easily accessible.
- Develop and implement new filing systems and processes, as needed, to improve efficiency and productivity.
- Provide training and support to staff on document management best practices and company policies.
- Stay up-to-date with industry trends and best practices in document management, making recommendations for process improvements and system enhancements.
- Work closely with the administrative team to ensure that all documents are properly labeled, stored, and protected.
- Perform other duties as assigned, including special projects and tasks related to document management.
Requirements
- 2+ years of experience in data entry, document management, or a related field.
- Excellent communication and customer service skills, with the ability to work effectively with clients and colleagues.
- Strong attention to detail and organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Proficiency in Microsoft Office, particularly Excel and Word, with experience in database management systems.
- Ability to work in a fast-paced environment, with a high level of accuracy and attention to detail.
- Strong analytical and problem-solving skills, with the ability to think critically and outside the box.
- Experience with document management software, such as SharePoint or Documentum.
- Knowledge of regulatory requirements and compliance issues related to document management.
- Ability to work independently, with minimal supervision, and as part of a team.
- Certification in document management or a related field, such as Certified Records Manager (CRM) or Certified Information Professional (CIP).
