The Basic Admin Support role is a temporary position that will provide support to our administrative team for a period of less than a month. The successful candidate will be expected to work closely with our staff and management to ensure that all administrative tasks are completed efficiently and effectively. This is a great opportunity to gain experience in administration and to develop your skills in a fast-paced and dynamic environment.
Key Responsibilities
- Provide administrative support to staff and management, including preparing correspondence, reports, and other documents
- Manage and maintain accurate and up-to-date records and files, both physical and digital
- Answer and direct phone calls, respond to emails, and provide exceptional customer service to clients and stakeholders
- Coordinate travel arrangements, meetings, and events, and ensure that all necessary materials and equipment are available
- Develop and implement effective filing systems, both physical and digital, to ensure easy access to information
- Prepare and distribute meeting materials, such as agendas, minutes, and reports
- Provide support for special projects, including data entry, research, and other tasks as required
- Ensure that all administrative tasks are completed efficiently and effectively, and that deadlines are met
- Collaborate with other teams and departments to ensure that administrative tasks are aligned with organizational goals and objectives
- Develop and maintain a thorough knowledge of administrative procedures and policies, and ensure that they are followed
- Identify areas for improvement and implement changes to administrative processes and procedures as required
- Provide training and support to other staff members on administrative tasks and procedures as required
- Ensure that all administrative tasks are completed in accordance with organizational policies and procedures
- Develop and maintain a high level of professionalism and confidentiality in all interactions with staff, management, and clients
Requirements
- High school diploma or equivalent required, post-secondary education in administration or a related field an asset
- Minimum of 1 year of experience in administration, preferably in a fast-paced and dynamic environment
- Excellent communication and customer service skills, with the ability to communicate effectively with staff, management, and clients
- Proficient in Microsoft Office, including Word, Excel, and Outlook
- Experience with data entry and record-keeping, with high levels of accuracy and attention to detail
- Ability to work in a fast-paced and dynamic environment, with multiple priorities and deadlines
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong problem-solving and analytical skills, with the ability to identify areas for improvement and implement changes
- Experience with administrative software and systems, such as HRIS and CRM
- Ability to work collaboratively as part of a team, with a positive and supportive attitude
