The Basic Admin Support role is a temporary position that will provide support to our administrative team for a period of less than a month. The successful candidate will be expected to work closely with our staff and management to ensure that all administrative tasks are completed efficiently and effectively. This is a great opportunity to gain experience in administration and to develop your skills in a fast-paced and dynamic environment.

Key Responsibilities

  • Provide administrative support to staff and management, including preparing correspondence, reports, and other documents
  • Manage and maintain accurate and up-to-date records and files, both physical and digital
  • Answer and direct phone calls, respond to emails, and provide exceptional customer service to clients and stakeholders
  • Coordinate travel arrangements, meetings, and events, and ensure that all necessary materials and equipment are available
  • Develop and implement effective filing systems, both physical and digital, to ensure easy access to information
  • Prepare and distribute meeting materials, such as agendas, minutes, and reports
  • Provide support for special projects, including data entry, research, and other tasks as required
  • Ensure that all administrative tasks are completed efficiently and effectively, and that deadlines are met
  • Collaborate with other teams and departments to ensure that administrative tasks are aligned with organizational goals and objectives
  • Develop and maintain a thorough knowledge of administrative procedures and policies, and ensure that they are followed
  • Identify areas for improvement and implement changes to administrative processes and procedures as required
  • Provide training and support to other staff members on administrative tasks and procedures as required
  • Ensure that all administrative tasks are completed in accordance with organizational policies and procedures
  • Develop and maintain a high level of professionalism and confidentiality in all interactions with staff, management, and clients

Requirements

  • High school diploma or equivalent required, post-secondary education in administration or a related field an asset
  • Minimum of 1 year of experience in administration, preferably in a fast-paced and dynamic environment
  • Excellent communication and customer service skills, with the ability to communicate effectively with staff, management, and clients
  • Proficient in Microsoft Office, including Word, Excel, and Outlook
  • Experience with data entry and record-keeping, with high levels of accuracy and attention to detail
  • Ability to work in a fast-paced and dynamic environment, with multiple priorities and deadlines
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong problem-solving and analytical skills, with the ability to identify areas for improvement and implement changes
  • Experience with administrative software and systems, such as HRIS and CRM
  • Ability to work collaboratively as part of a team, with a positive and supportive attitude
