The project scope for this role involves not only organizing and maintaining our current files but also developing and implementing new filing systems that will enhance our operational efficiency. You will be working closely with our administrative team, ensuring seamless integration of our filing systems with existing workflows. Your contribution will be vital in ensuring our company's compliance with data protection regulations and in maintaining the high standards of our document management practices.
Key Responsibilities
- Develop, implement, and maintain filing systems, both physical and digital, to ensure easy access and retrieval of documents.
- Conduct regular audits of files to ensure they are up-to-date, accurate, and compliant with company policies and legal requirements.
- Scan and digitize physical documents, ensuring they are properly categorized and stored in our digital database.
- Collaborate with the administrative team to develop and refine document management policies and procedures.
- Maintain the confidentiality and security of all files, adhering to data protection guidelines and regulations.
- Provide training and support to staff members on file management best practices and the use of our filing systems.
- Implement a system for tracking and managing document versions, ensuring the most current version is always accessible.
- Ensure compliance with document retention and disposal policies, coordinating the secure destruction of documents as needed.
- Utilize software tools to manage and automate filing processes where possible, streamlining workflows and reducing manual entry errors.
- Contribute to the continuous improvement of our document management practices, suggesting innovations and efficiencies.
- Maintain accurate records of file movements, both physical and digital, for auditing purposes.
- Manage requests from staff for access to files, ensuring adherence to access control policies.
- Coordinate with external parties, such as archives and storage facilities, as required for the management of our files.
- Participate in cross-functional projects that involve document management aspects, providing expertise and support.
Requirements
- Proven experience in a file management or administrative role, preferably in a business consulting environment.
- High level of proficiency in data entry and management software, with the ability to quickly learn new systems.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and ability to maintain high levels of accuracy in a fast-paced environment.
- Effective communication and interpersonal skills, with the ability to work collaboratively with colleagues.
- Familiarity with data protection regulations and experience in maintaining confidential documents.
- Ability to lift and move file boxes, as some physical demands of the role may require accessing storage areas.
- Basic knowledge of digital security practices and how they apply to document management.
- Proficiency in Microsoft Office, particularly Excel, for tracking and managing files.
- Experience with document scanning and digitization processes, and knowledge of best practices for digital file storage.
