Key Responsibilities

  • Organize and categorize digital and physical files according to established protocols and procedures.
  • Maintain accurate and up-to-date records, ensuring compliance with regulatory requirements and company policies.
  • Develop and implement effective filing systems, including digital and physical storage solutions.
  • Collaborate with the data management team to ensure seamless integration of documents and data.
  • Perform quality control checks to ensure accuracy and completeness of documents.
  • Provide excellent customer service, responding to requests and inquiries in a timely and professional manner.
  • Develop and maintain relationships with internal stakeholders, including team members and management.
  • Utilize software applications, such as document management systems and spreadsheet software, to manage and analyze data.
  • Stay up-to-date with industry trends, best practices, and new technologies, applying this knowledge to improve processes and procedures.
  • Participate in training and development programs to enhance skills and knowledge.
  • Adhere to company policies and procedures, ensuring confidentiality and security of sensitive information.
  • Contribute to the development of process improvements, implementing changes as necessary.
  • Ensure compliance with regulatory requirements, including data protection and privacy laws.
  • Prepare and submit reports, as required, to management and other stakeholders.

Requirements

  • High school diploma or equivalent required; post-secondary education in a related field an asset.
  • Minimum 2 years of experience in data entry, document management, or a related field.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail, with a high level of accuracy and precision.
  • Proficiency in software applications, including document management systems, spreadsheet software, and word processing software.
  • Excellent communication and customer service skills, with the ability to respond to requests and inquiries in a timely and professional manner.
  • Ability to work in a fast-paced environment, with a high level of adaptability and flexibility.
  • Strong analytical and problem-solving skills, with the ability to think critically and creatively.
  • Ability to maintain confidentiality and security of sensitive information.
  • Certification in data management or a related field an asset.
  • Experience working in a team environment, with a strong commitment to collaboration and teamwork.
