Key Responsibilities

  • Organize and maintain digital files in accordance with company policies and procedures
  • Conduct regular audits to ensure the accuracy, completeness, and accessibility of digital files
  • Perform data entry tasks to update and maintain digital records
  • Scan and index documents to create digital copies
  • Develop and implement filing systems to improve data management
  • Collaborate with team members to ensure seamless integration of digital files
  • Provide technical support and training to staff members on digital file management systems
  • Develop and maintain documentation to support digital file management processes
  • Ensure compliance with company data management policies and procedures
  • Conduct research to identify and implement best practices in digital file management
  • Participate in quality assurance activities to ensure high-quality digital files
  • Develop and implement strategies to improve digital file management processes
  • Provide regular reports on digital file management activities and outcomes
  • Stay up-to-date with industry trends and best practices in digital file management

Requirements

  • 2+ years of experience in digital file management or a related field
  • Highly organized and detail-oriented with excellent analytical skills
  • Strong technical skills, including proficiency in Microsoft Office and digital file management software
  • Excellent communication and interpersonal skills, with the ability to work effectively with team members
  • Ability to work in a fast-paced environment with multiple priorities and deadlines
  • Strong problem-solving and analytical skills, with the ability to think critically and outside the box
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong time management and organizational skills, with the ability to prioritize tasks and manage multiple projects
  • Experience with data entry, document scanning, and indexing
  • Certification in digital file management or a related field (desirable)
  • Ability to work collaboratively as part of a team, with a strong focus on customer service and support
