In this role, you will have the flexibility to work remotely, with occasional meetings and collaborations with our team members. We are looking for someone who is adaptable, flexible, and able to work independently, with a strong ability to communicate effectively and build relationships with our clients and stakeholders.
Key Responsibilities
- Provide administrative support to senior management, including scheduling appointments, managing calendars, and making travel arrangements
- Manage and maintain accurate and up-to-date records, including client information, contracts, and project files
- Develop and implement effective filing systems, both physical and digital, to ensure easy access to information
- Prepare and edit documents, reports, and presentations, ensuring accuracy, clarity, and professionalism
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail, in a timely and professional manner
- Coordinate meetings, conferences, and events, ensuring all logistics are in place and arrangements are made
- Provide exceptional customer service, responding to client inquiries, and resolving issues in a prompt and courteous manner
- Collaborate with team members to achieve business objectives, sharing knowledge, and best practices
- Develop and maintain relationships with clients, stakeholders, and partners, ensuring strong communication and rapport
- Participate in special projects, as required, and undertake additional responsibilities to support the growth and success of the organization
- Maintain confidentiality and handle sensitive information with discretion and professionalism
- Stay up-to-date with industry trends, best practices, and new technologies, applying this knowledge to improve processes and procedures
- Develop and implement processes to improve efficiency, productivity, and quality, ensuring continuous improvement
Requirements
- 2+ years of experience in an administrative or support role, preferably in a business consulting or professional services environment
- Exceptional communication, interpersonal, and customer service skills, with the ability to build strong relationships
- Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with the ability to learn new software and systems
- Strong organizational, time management, and prioritization skills, with the ability to manage multiple tasks and deadlines
- Ability to work independently, with a high level of self-motivation, discipline, and attention to detail
- Strong problem-solving, analytical, and critical thinking skills, with the ability to resolve issues and make informed decisions
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism
- Flexibility and adaptability, with the ability to work in a fast-paced and ever-changing environment
- Strong technical skills, including proficiency in digital tools, software, and systems
- Certification in administration, customer service, or a related field, an asset
- Post-secondary education in business administration, or a related field, preferred
