Key Responsibilities
- Provide exceptional administrative support to ensure the efficient operation of the business, including managing calendars, setting up appointments, and making travel arrangements.
- Handle all incoming and outgoing communications, including emails, phone calls, and messages, in a professional and timely manner.
- Perform data entry tasks accurately and efficiently, ensuring all data is up-to-date and easily accessible.
- Offer superior customer service, responding to inquiries, resolving issues, and providing support to clients and internal stakeholders.
- Assist with sales support activities, including preparing sales materials, tracking sales leads, and maintaining sales records.
- Collaborate with the team to achieve project goals, providing assistance where needed and contributing to brainstorming sessions.
- Maintain confidentiality and handle sensitive information with discretion.
- Implement and maintain organizational systems, ensuring all files, both physical and digital, are organized and easily accessible.
- Conduct research as needed, gathering and analyzing data to inform business decisions.
- Prepare and distribute meeting minutes, agendas, and other documents as required.
- Develop and implement processes to improve operational efficiency and productivity.
- Stay up-to-date with the latest administrative tools and technologies, recommending changes to processes and systems as appropriate.
- Manage and maintain social media accounts, creating and curating content to engage our audience and promote our brand.
- Provide technical support and troubleshooting for basic IT issues, ensuring all equipment and software are in good working order.
Requirements
- At least 2 years of experience in an administrative or virtual assistant role, preferably in a consulting or business environment.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and stakeholders.
- Highly organized and efficient, with exceptional time management and prioritization skills.
- Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, as well as Google Suite.
- Experience with data entry software and customer relationship management (CRM) systems.
- Strong problem-solving skills, with the ability to think critically and outside the box.
- Customer service experience, with a proven track record of providing exceptional support and ensuring customer satisfaction.
- Able to work independently and as part of a team, with a high level of self-motivation and discipline.
- Excellent technical skills, including proficiency in social media management tools and basic IT troubleshooting.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Certification in administration or a related field is an asset, though not required.
